1. Introduction

This Privacy Policy describes how ORBIT by ProSound Media ("ORBIT", "we", "our", or "us"), a product of ProSound Media, collects, uses, and shares information when you use our AI-powered business operations platform (the "Service") at app.prosoundmedia.com.

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. Information We Collect

  • Account information: name, email address, company name, and industry
  • Connected platform data: social media profiles, posts, analytics, and messages from accounts you authorize
  • Business data: emails, contacts, invoices, revenue information, and files you upload or sync
  • Usage data: how you interact with the Service, features used, and actions taken
  • Payment information: billing details processed securely through Stripe; we do not store full card numbers
  • Device and log data: IP address, browser type, operating system, and access timestamps

3. TikTok Data

When you connect your TikTok account to ORBIT by ProSound Media, we access the following data solely with your explicit permission:

  • Profile information: your TikTok username and basic public profile details
  • Video data: your existing videos and performance metrics, used to learn your content style and generate relevant AI drafts
  • Publishing access: the ability to upload and publish video content to TikTok on your behalf — only when you explicitly review and approve a draft inside ORBIT
  • Creator information: account type, privacy level settings, and posting eligibility

We do not sell your TikTok data to any third party. TikTok data is used exclusively to provide the features of ORBIT by ProSound Media that you request. We do not use TikTok data for advertising or for training AI models beyond what is necessary to provide the Service to you.

You can disconnect your TikTok account at any time through the Settings page in ORBIT. Disconnecting immediately revokes our access and we will delete your TikTok tokens from our systems within 30 days.

To request deletion of your TikTok data, email support@prosoundmedia.com with subject "TikTok Data Deletion Request".

4. Meta Platform Data (Facebook & Instagram)

When you connect your Facebook or Instagram account to ORBIT by ProSound Media, we access data solely with your explicit permission, which may include:

  • Page and profile information: your Facebook Page name, Instagram business profile, and account identifiers
  • Content and insights: your published posts and performance metrics, used to generate relevant AI-powered content suggestions
  • Publishing access: the ability to publish content on your behalf — only when you explicitly approve a draft

We do not sell your Meta platform data. You may revoke access at any time through your Facebook or Instagram settings, or through the Settings page in ORBIT. To request deletion of your Meta data from our systems, contact support@prosoundmedia.com.

5. LinkedIn Data

When you connect your LinkedIn account to ORBIT by ProSound Media, we access data solely with your explicit permission, which may include your profile and organization pages, content and engagement data, and publishing access for approved drafts.

We do not sell your LinkedIn data. You may revoke access through your LinkedIn account settings at any time.

6. Gmail and Email Data

When you connect your Gmail account to ORBIT by ProSound Media, we access your email data solely to provide inbox management features:

  • We read your inbox to identify emails that may require a reply or action
  • We generate AI-powered draft replies for your review — we do not send emails without your explicit approval
  • We do not read, store, or process emails beyond what is necessary to provide the inbox management feature

We do not sell your email data. Our use of Gmail data complies with Google's API Services User Data Policy, including the Limited Use requirements.

7. How We Use Your Information

ORBIT by ProSound Media uses the information we collect to:

  • Provide, operate, and improve the Service
  • Generate AI-powered content drafts, email replies, and business insights tailored to your organization
  • Publish content to your connected accounts on your behalf, only upon your explicit approval
  • Process payments and manage your subscription
  • Send service-related notifications and support communications
  • Monitor usage patterns to improve the Service
  • Comply with applicable laws and platform developer policies

We do not use your data to train general AI models shared with third parties. AI processing occurs only to provide features within your ORBIT account.

8. How We Share Your Information

We do not sell your personal information. We share your information only in these circumstances:

  • Service providers: Supabase (database), Stripe (payments), and Anthropic (AI processing). These providers are contractually bound to protect your data.
  • Connected platforms: platforms you authorize us to interact with on your behalf. We share only the data necessary to perform the actions you request.
  • Legal requirements: when required by law, court order, or governmental authority.
  • Business transfers: in the event of a merger or acquisition, with prior notice to you.

9. Data Deletion and Retention

You have the right to request deletion of your data at any time:

  • Account deletion: delete your ORBIT account from Settings. Personal data is permanently removed from active systems within 30 days.
  • Connected platform data: disconnecting a platform from Settings immediately revokes our access token. Associated data is removed within 30 days.
  • Specific deletion requests: email support@prosoundmedia.com. We respond within 10 business days.

Certain data (such as billing records) may be retained as required by applicable law even after account deletion.

10. Data Security

We implement industry-standard security measures including encrypted HTTPS connections, OAuth tokens and credentials encrypted at rest, restricted access controls, and regular security reviews. No method of internet transmission is 100% secure and we cannot guarantee absolute security.

11. Your Rights and Choices

You may have the following rights regarding your personal data:

  • Access: request a copy of your personal data
  • Correction: update inaccurate information through Settings or by contacting us
  • Deletion: request deletion of your account and data (see Section 9)
  • Portability: request an export of your data
  • Withdrawal of consent: disconnect any connected platform at any time through Settings

Contact support@prosoundmedia.com to exercise any of these rights. We respond within 30 days.

12. Cookies

ORBIT by ProSound Media uses cookies solely to maintain your session and account preferences. These are essential for the Service to function. We do not use advertising cookies or sell cookie data to any third party.

13. Children's Privacy

ORBIT by ProSound Media is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, contact us immediately at support@prosoundmedia.com.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email and by posting a notice within the Service. Your continued use of ORBIT by ProSound Media after changes take effect constitutes your acceptance of the revised policy.
